Leveraging Microsoft Copilot within Outlook means having a personal assistant that writes, summarizes, schedules and reminds on your behalf, drawing on generative AI models and the Microsoft Graph to understand the context of each thread. From the reading pane I can request complete drafts, get a summary with pending tasks, or schedule a meeting without leaving the message.
The current version incorporates Email Coaching, which analyzes tone, clarity and sentiment before hitting Send, and offers adjustments in seconds—ideal for sensitive communications with clients or management.
With the June 2025 update, Copilot features extend to all connected accounts, including Gmail, Yahoo and iCloud, as long as the session has a Copilot subscription or AI credits. This turns Outlook into a universal productivity hub, regardless of the email provider you use.
Additionally, the spring redesign introduces Copilot Notebooks, workspaces that group emails, files and notes for ongoing projects, with dynamic summaries and automatic task generation.

I can adjust the tone (formal, friendly, persuasive), length (brief, detailed) or request a new version without rewriting the prompt.
The Email Coaching feature acts as a personal editor. The message just needs to exceed 100 words: by selecting Coaching by Copilot, the AI analyzes tone, clarity and sentiment and displays specific suggestions (removes jargon, simplifies long sentences, softens overly harsh expressions). I can apply each improvement individually or all at once, with a single click.
Every adjustment is based on the real context of the thread. Copilot draws on the Microsoft Graph to understand recipients, prior relationship and urgency; it therefore recommends a less formal greeting when writing to a regular colleague, or a more assertive tone when the action is critical for a client.
Expanded compatibility in the June 2025 update. From this version, drafting and coaching features are also available when using Gmail, Yahoo or iCloud accounts in the new Outlook, provided you have a Copilot license.

Thread and Attachment Summaries
With the Summarize button, Copilot condenses any conversation in Outlook in seconds. Simply open the thread and click the icon in the top bar to receive a paragraph with the key points, decisions made, open questions and pending tasks, each linked to the original message so you can navigate without losing context.
Attachments don’t escape the summary either. In the new Outlook the option “Summarize a file” appears when the email includes a Word, PowerPoint or PDF; Copilot reads the document—up to 40,000 words in presentations—and displays a summary with sections, conclusions and suggested actions directly in the reading pane.
All generated content is editable and reusable. I can copy the summary to Teams, paste it into OneNote or convert the detected tasks into Microsoft To Do items without leaving the message, thanks to native integration with the Microsoft Graph.

Copilot detects promises, requests and hidden tasks in your emails and converts them into actionable reminders. When a thread contains the phrase “I’ll send you the report on Friday” or “Can you review it?”, the AI classifies it as a Commitment, Request or Follow-up and displays a banner with two options: Done or Remind me. By choosing Remind me, the task is created in Microsoft To Do and an alert is scheduled for the suggested date—all without leaving the reading view.
Guided drafting of follow-up emails
From the same card I can click Draft follow-up with Copilot: an email is generated that includes a subject line, a persuasive body and, if applicable, attaches the pending document. For payment reminders, Copilot automatically adds the amount, due date and payment link, thanks to the connection with Copilot for Finance, avoiding copy-pasting data from the ERP.
Impactful subject line suggestions
Before sending the message, I activate Improve subject line and Copilot proposes titles that maximize the open rate—for example, “Quick follow-up: Q2 report pending”—based on marketing best practices.
Smart inbox prioritization
In high-traffic views, I select Prioritize my inbox: Copilot analyzes urgency and relevance and moves critical emails to the top, combining AI with the logic of Focused Inbox so nothing important gets lost among minor notifications.
Complete follow-up workflow
- Detection of commitment in the thread.
- Automatic creation of task and reminder in To Do.
- Drafting of the follow-up email with contextual data.
- Optional scheduling of a second alert if the recipient does not respond within X days.

PRO TIPType directly in the message body “/remind me next week if they don’t respond”. Copilot will add the task in To Do and schedule the alert for seven days from now, so you won’t need to return to the conversation until the AI reminds you.
Smart Meeting Planning
“Schedule with Copilot” appears in the top bar when I open an email thread. When activated, Copilot analyzes the conversation, proposes a title, drafts the agenda and attaches the thread itself as a reference, and also automatically adds the email participants as attendees. I just review the details, adjust the time slot and send the invitation in seconds.
When I prefer a chat interaction, I simply type “Schedule 30 min with Barbara next week to review the Q1 sales report”. Copilot checks all attendees’ calendars, suggests compatible time slots and creates the event with a Teams link, all from the side panel.
The assistant generates and formats the agenda with a simple “/” in the text box; I can ask it to insert recent files thanks to Context IQ, avoiding manual searches.
The invitation takes advantage of the new unified availability view of the Scheduling Assistant, with clearer lines and a combined availability bar that makes it easy to identify gaps even in large teams.
If the conversation lacks sufficient information, Copilot keeps the original subject and asks me to complete the agenda manually, ensuring it never sends empty invitations.
PRO TIPInclude in your prompt the phrase “attach the thread and label the meeting as High Priority”. Copilot will insert the full history, mark the priority and, if your tenant allows it, will automatically enable recording in Teams so the session is documented from start to finish.

Copilot Notebooks (Wave 2 2025)
Copilot Notebooks is your AI-powered workspace: I bring together chats, emails, Microsoft 365 files, meeting notes, external links and any relevant reference in a single notebook and, from there, generate answers, summaries and recommendations tailored to the content I add. Every time I incorporate a new file or message, the notebook updates in real time, so information and ideas evolve at the pace of the project.
How to create and populate a Notebook
- I go to com/copilot with my professional account.
- I select Notebooks → New notebook, assign a name and start adding references: searching within the organization, uploading documents or dragging from OneDrive; Copilot even suggests related files.
- I ask questions (“Summarize the project risks”) or request drafts based on all sources; the answers are pinned within the Notebook for future reference.

Integration with Teams and Microsoft 365
Copilot connects Outlook with the rest of the Microsoft 365 ecosystem so information flows without jumping between applications. - Themes by Copilot – From Settings → Appearance I activate AI-generated themes; I simply indicate “Mediterranean sunset” or choose a predefined template and Outlook applies a dynamic background that updates daily.
- Translation and multilingual replies – After drafting or receiving an email, I click Translate to convert it to the desired language; if I reply with Copilot, the AI adapts tone and content while maintaining the original format.
